We’ll revise this policy from time to time. Any updates will be posted on this page and we’ll let you know if we make any material changes. We last updated this policy on 20/02/2025.

1. Personal Information
Personal information is any information that identifies or relates to a specific person.
Where we collect your personal information
We might collect and store your personal information in different circumstances, for example when you sign up to our newsletter, take part in one of our campaigns or events, submit a grant or get in touch with us in any other way.
How we use your personal information.
We may use your personal information for the following purposes: to carry out our work and operate our website, to send you our newsletter (where you signed up to receive it), as part of our campaigns that you have chosen to take part in, to consider a grant application that you have made and/or to provide you or your organisation with a grant if your application is successful, to communicate with you if you or your organisation show interest in partnering with us and/or to handle your enquiries and review your feedback to improve our services and work.
What personal information we collect
Here are some types of information we may collect from you: Identification details (i.e. your name), contact details (including your email address, phone number and address), marketing preferences (i.e. what marketing you have consented to receive or have told us that you don’t want to receive), any communications you send to us (including, for example, to provide your feedback or make an enquiry), and any information you publicly share on our social media or through our campaigns.
Retaining your personal information
We don’t keep your data longer than we need. Deciding when to delete your data depends on what the data is, what it’s being used for, how it’s being used, our agreement with you and the statutory retention period.
Sharing your personal information
We share your data with other companies when they’re providing a service to us and that service requires some access to information e.g. our newsletter software, IT consultants, website hosts. We might also, in some situations, share your personal data with other third parties, including if we need to do so: as part of a sale or other transfer of our business; because we are required to share your data due to a legal obligation on us for legal reasons (including a court order or other legal process); and to protect our rights or the rights of their parties, in which case we might share your information with our professional advisors (including lawyers, accountants and auditors).
2. Our lawful bases
We will only use your personal information when the law lets us, for example:
- When we have a ‘legitimate interest’ – in other words, when collecting or using your personal information is helpful to us, and/or to you, and doesn't unduly harm your rights. For example, we may use your information to help inform our campaigns, provide our services and manage our website.
- When it's necessary to fulfill a contract with you. For example, we may need your information to complete a transaction.
- When we have to follow legal rules, like reporting to tax authorities or regulatory bodies.
- When we have your consent (for example, we will only send out our newsletter or other marketing communications to you having asked for your consent first).
You can unsubscribe from our emails at any time by following the instructions in the emails we send.
3. International data transfers
In some cases, we might send your personal information outside the UK. For example, we use software with servers based in the US, such as Microsoft Forms. When we do this, we will make sure to protect your information properly, especially if the country we are sending it to doesn’t have strong enough privacy laws according to UK standards. Specifically, we will use approved safety measures, like standard contracts that the UK Government recognises, to keep your personal information safe.
4. Your rights
You have rights regarding your personal information. In particular, you can: ask for access to the information about you that we have, ask that we correct personal information about you if it’s no longer accurate; object to our use of your personal information in some circumstances; ask that we restrict our use of your personal information; ask that we delete your personal information; and remove your consent to us using your personal information if we have relied on that consent. You can also ask us to send your personal information to you or a third party, in some cases.
You can use your rights in any of the above ways by contacting us using the details at the top of this Privacy Policy.
You also have the right to file a complaint about how we’ve handled your personal information with the Information Commissioner’s Office at https://www.ico.org.uk/make-a-complaint
5. How we keep your personal information safe
We store your personal information securely and only share it with those who need to see it for their work, to fulfil our commitment to you. We do our best to protect your information but please understand that no system can be completely secure. If you think your information might not be safe anymore, please let us know right away using hello@hubbub.org.uk
